A digital revolution for one of Ireland’s leading healthcare recruitment agencies.

AXIS Agency is a premier recruitment agency in the healthcare industry operating across Ireland. We collaborated with AXIS to revolutionise their digital infrastructure and shift booking system. We engaged with stakeholders to identify and understand current challenges and through a comprehensive SWOT analysis and extensive user research, we conducted wireframing and prototyping sessions to refine UI/UX design and information architecture. Our development process included rigorous testing and iterative improvements. The result is a bespoke software system that seamlessly integrates a back-office platform, two native apps, robust API integration, and advanced email processing capabilities, ensuring a cohesive and efficient digital experience. So far the new system has saved AXIS thousands of pounds and hundreds of hours in staff efficiencies.

Defining challenges, and identifying opportunities

Our approach to digital transformation projects is grounded in thorough research, proactive stakeholder engagement, and a methodical, user-centered strategy. We begin with comprehensive research, including market analysis, SWOT assessments, and user interviews, to understand the landscape and pinpoint existing challenges. Engaging with stakeholders is crucial; we involve them throughout the process to ensure their insights and needs drive our solutions.

During the discovery phase, we quickly identified all the user scenarios within the shift booking system. Once this was in place, together we defined the key features the solution required. This approach allowed for a streamlined workflow.

Technology that performs today, and in the future.

In creating the information architecture and tech stack for AXIS, we utilized established technologies alongside custom software to ensure robust performance and scalability. Our development environment is fully containerized using Docker and orchestrated with Kubernetes, enabling seamless deployment and management of applications. This approach not only streamlines the integration of various system components but also supports horizontal scalability, ensuring the infrastructure can handle increasing loads efficiently. By leveraging industry-standard tools and bespoke solutions, we built a flexible and resilient platform tailored to AXIS's specific needs.

One app that does it all

We designed a bespoke app that empowers AXIS healthcare professionals with complete control over their working lives, right from their pocket. The app simplifies the process of finding shifts, making bookings, updating availability, and adding training certifications. Built from scratch using React, it provides a robust foundation for future feature enhancements. Two versions were developed for each of the major platforms, ensuring seamless functionality and accessibility for all users.

A market leading software system

From wireframes to style guides, we designed and built the back office from the ground up to meet AXIS's specific needs. Our bespoke approach provided a solid foundation for growth and future-proofed the system. An email processing service, integrated with Postmark, manages all shift requests received via incoming emails and efficiently sends a range of shift, training and communication emails and notifications to all users. The back office, integrated via API, seamlessly handles thousands of shifts daily and stores millions of records long-term for compliance. It enables staff to perform a wide range of functions, from managing shifts and personnel to accessing key information through the dashboard. We have also introduced machine learning and AI elements to help the system self heal and grow where appropriate. Monitoring and system health updates connect to to allow realtime performance and ensure the 24/7 system is always working.

Launching the new app

We launched a campaign to inform users about the transition and the release date of the new version. Content was created for posters, emails, and social channels, all coordinated through a master content calendar. We had a successful launch with over 90% users updated their app on the day and the rest within a week.
